Call for Bids EUCR 2023

Introduction

This is the call for bids for the European Ultimate Club Regionals in the divisions Mixed, Open and Women.

The EUCRs are played every year as a qualifying tournament for the EUCF (Finals).

EUCR’s take place in August to ensure enough time to organise travel and accomodation for the EUCF. 

This call for bids includes the regions:

  • East: AUT, CZE, HUN, SLO, SVK, UKR, ISR, POL, HRO, BLR, TUR, ROM, BUL

  • South: ITA, ESP, SUI, FRA, POR

  • Central: GER, DEN, NED, BEL, LUX

  • North: NOR, SWE, FIN, RUS, LAT, LIT, EST

  • West: UK, IRE

Hosting multiple Divisions is an asset but not a must. 

Time Line for the Bid:

Dec 30th:          Declaration of interest to host

February 28th:   Bid complete, provisional budget

March 2021:         Bid selection

Tournament length:

2 days (or 2,5 days depending on the regional needs)

Date:

Wished date (*): 5.-6.8. / 12.-13.8. / 19.-20..8. / 26.-27.8.

(*): Variations are possible in agreement with the members of the region.

Number of Teams:

Mixed: max. 12 (*)

Open: max. 12 (*)

Women: max. 12 (*)

(*): Variations are possible in agreement with the members of the region.

Number of Players:

In the previous events the average number of players per team was around 14.

Venue:

3 WFDF-regular fields for 2-2.5 days of play per division are required for the max. expected number. If less teams will register, the number of needed fields should be reduced, in order to sink the fixed costs

A WFDF-regular field measures 100m x 37m + 5m restraint lines around it. WFDF-conform field size (90m x 33m + 3m restrain lines) is tolerated but should not be the standard. Please provide the size of the single fields in your bid.

Please provide a plan in case of rain (e.g. additional fields available, turf fields, etc.)

Football goals must be removed or protected, for the safety of the players.Having all pitches on 1 site is an asset.

Please add in the bid a google map link of the venue(s) and describe the grass quality.

Staff/Volunteers:

Please consider at least 1 Person per field plus at least 3-4 persons to manage schedule, spirit-scorings, volunteers, etc.

Felix ‘Nemo’ Nemec will help you through the bidding process and in the preparation of the tournament. 

Accommodation:

It is expected that most teams will take care of the accommodation themselves.

Please indicate if you plan to offer central accommodation.

If you organize an accommodation (e.g. camping near the fields) breakfasts must be provided for this accommodation.

Please add in the bid a google map link of the accommodation and the distance to the venue(s).

Food:

Warm Dinners should be offered together with the accommodation package.

Drinking water must be available at each pitch.

Please indicate where and how you plan to provide meals and the indicative costs.

Reachability:

Indicate how the tournament location can be reached (distance to airports, public transportation system,…).

The tournament is planned to end on Sunday early afternoon so that the players can catch a flight in the evening. Vicinity to a well connected airport is an asset.

Media Visibility:

If you want to stream a field with the EUF partner, please get in contact with us about it. 

Requirements: stable 10 Mbs Upload internet connection (better if via Ethernet since 4G is not really reliable) is needed, as well as an overhead camera position (grand stand, scaffold, etc.)

Please indicate if and how you plan to increase the tournament visibility and which budget you reserve for this.

Gifts/Trophies:

Winner Trophies must be covered by the tournament budget or by sponsors.

SOTG trophy must be covered by the tournament budget or by sponsor.

A tournament gift per player is not necessary and should be considered only if covered by a sponsor.

First Aid

First Aid-Kit must be available at the fields. Medical staff and/or physiotherapists are recommended. An Ambulance at the fields is an asset.

Please describe your physiotherapy and medical plan.

Budget:

For the budget plan, please use the EUF Budget Template_V3.0 and create your own copy of it.

We want to make clear that people, who work hard on these events, should receive some reasonable payment, nevertheless management costs should be kept to the minimum.

The EUF committee wants to make sure that it is able to get very clear visibility of all the costs, that costs are reasonable, and that we help make sure players don’t pay for things that they might prefer not to have if given the choice.

The EUF will charge 3€ per player per day as a sanctioning fee. 

Refund Policy

It is necessary to include a Timeline that outlines key payment deadlines including the refund policy. A bid without refund policy cannot be considered. 

This edition will help us to not lose money from participants.
